Municipal Governments To Efficiently Manage E-Mail Archiving

Responding to the evolution of state laws governing municipal record-keeping, Bill Shaw, management information systems director for The Village of Niles, Illinois, and his team began examining their e-mail monitoring and retention strategies more than a year ago. The Village of Niles reviewed three options: 1) buying a new server, which would require additional technical support; 2) piggybacking new software onto its Microsoft Exchange server, which might affect system performance; or 3) adding a separate archiving appliance.

Demand Heats Up for E-Mail Archiving in Government Agencies
Recently, State governments, such as the State of Illinois, have mandated that all e-mail be considered the property of the municipality and be subject to review, storage, and reproduction. In the State of Illinois this mandate was instituted after several plaintiffs in suits against the State subpoenaed e-mails.

Generally, as much as 70% of intellectual property is stored within an organization's messaging system. E-mail is mission critical, and often e-mail servers are treated as corporate intelligence repositories – for which they were not designed. Recent research from the Radicati Group, Inc. states that the average corporate e-mail user sends and receives 133 emails a day, equating to 16.4 MB per day of storage. This number is expected to rise to 21.4 MB per user, per day by 2010.
