Look at the business environments in most organizations today and you inevitably see several mission-critical applications—an e-mail system such as Microsoft Exchange or Lotus Domino, document management systems like Microsoft SharePoint, productivity tools like Microsoft Office, and back-office systems like SAP and Siebel. During daily business activities, each of these applications creates a significant amount of electronic content—content most often stored in a completely unstructured, unmanaged, and disconnected way. Unfortunately, retrieving this content often needs to be done according to a very structured, managed, and integrated process—the exact opposite of the way in which it was accumulated.
And if you look for a lifecycle management framework in those organizations, you'll likely find some semblance of one. Widespread regulations have made stronger document control an indispensable part of doing business today—but is it being done intelligently?
The resulting challenge is two fold: IT departments have strict, often dwindling budgets, and decentralized storage and management of content is costly. And as an increasing amount of data is generated by these applications, systems are hampered by significant performance degradation. In addition, Compliance and Legal departments have regulations to adhere to—laws that demand content be retained in a specific manner for a specific length of time; and that it is both secure from deletion and immediately available in the event of litigation. Today's business environment is highly litigious; meeting regulatory requirements is often the first step, but organizations need to be able to extend that investment to ensure electronic content becomes an integral part of their legal strategy.
